Do I need to book a time slot for my vehicle for Build-up and Breakdown?
There is a delivery zone at the back of Hall 1 and 2 which is exclusively for trucks during build and breakdown.
Entry to the delivery zone is at the south entrance. The delivery zone is located indoors, directly connected to the back of the halls. Our dedicated delivery zone is behind halls 1+2 (sprinter/trucks should drive through the delivery zone until they are in the right “sector” behind the event halls and loading/unload there.
Access to the delivery zone is controlled by the MOC Munich who operate a deposit system.
- Trucks are allocated 3 hours to unload and vacate the delivery zone.
- Vans and cars with trailers are allocated 2 hours to unload and vacate the delivery zone.
Vans and cars (less than 2.2m high) can use the underground parking garage to delivery goods to Hall 1 and 2 via the elevator.
Are there trollies available during Build-up and Breakdown?
No, please make sure you bring any equipment to site that you might require to help transport your displays/ goods to your stand. Alternatively, you can request a quote from our Official Lifting & Handling Contractor for assistance.
How much power do I need on my stand?
This depends on what equipment or devices that you need power for. Please make sure to check the wattage required to run each item.
Listed below are examples of "typical" loadings for items plugged in to socket outlets:
500 watt sockets: computers, TV’s, video’s, spotlights to 500W, refrigerators
1000 watt sockets: domestic filter coffee machines, lighting up to 1000W
2000 watt sockets: kettles**, machinery up to 2000W
3000 watt sockets: hired coffee machines, machinery 2000W to 3000W
Note ** kettles and refrigeration / freezer requirements vary between 200 and 2000 watts. Please check with the supplier or check the reference tag or plate on the machine to ensure you order the correct size socket.

Do I need to complete an Exhibitor Risk Assessment? Even if I have employed a stand contractor to build my stand...
All exhibitors are required by law to complete a Risk Assessment (RA) for their participation at the show, whether that is setting up displays during build-up, your stand activities during the open period or the removal of products from displays during breakdown. The Exhibitor Risk Assessment only covers activities for which the exhibitor is directly responsible, it does not cover organiser, venue or contractor activities. How do I complete my Exhibitor Risk Assessment?
Using the Risk Assessment Template linked here, read the examples and consider what risks/ hazards may present themselves on your stand in line with your stand activities and complete these on the form, followed by what control measures you will put in place to reduce the risk. Are there any storage facilities onsite?
If you wish to store packing cases for the duration of the exhibition, contact our freight forwarding agent – DSV Fairs & Events GmbH.
On no account should exhibitors store product or empty packing cases behind their stands as this presents a fire risk. Offending items are liable to be removed and destroyed without warning. All product storage, for the duration of the show, should be contained within the stand area. Alternatively, exhibitors can re-stock their stand each morning between 0800 - 0900hrs.
When should I arrange for deliveries for my stand to arrive at Hall 1 or 2?
Please ensure that a representative of your company is onsite to receive and sign for deliveries. The Organisers are unable to sign for goods on your behalf. This is particularly relevant if you should decide to use a courier to deliver goods, who will often not leave them unless they have a signature.
If any deliveries arrive before the first day of tenancy Monday 14 September at 0800hrs, they will be turned away and may not be re-delivered in time for the show open.
If you are making deliveries during the open days of the exhibition, these can only be made between 0800 -0900hrs before the exhibition opens. Hand carriable items can be delivered any time via the car park with access to Hall 1 and/or 2.
Please note the MOC cannot take responsibility for any deliveries.
Space Only exhibitor - How long do I have to breakdown my stand?
Please refer to the Exhibitor Timetable – breakdown will commence at 1730hrs once all visitors have cleared the hall, Space Only exhibitors have until 2200hrs on Thursday 17 September and on Friday 18 September to finish breaking down. All items, including any waste, must be removed by midday.
Shell Scheme exhibitor - How long do I have to clear my stand?
Please refer to the Exhibitor Timetable – breakdown will commence at 1730hrs once all visitors have cleared the hall, please do not start to clear your stand until this time. Shell Scheme exhibitors have until 2200hrs on Thursday 17 September to clear the stand.
What do I do with any rubbish during breakdown?
All stand/ promotional materials and waste must be taken away with you. Any waste left behind will be photographed and the disposal of it will be charged to the exhibitor. Alternatively, please speak to the organisers before going onsite to see if they can assist.
Can I have a drinks reception on my stand or provide hospitality on my stand for visitors?
Please contact the Organisers for permission to have a drinks reception on your stand. If you wish to provide stand hospitality to visitor’s during the open period, catering should be ordered through MOC Kafer to order. The Venue's official caterer. If you would like to bring your own drinks to the venue, you will need to organise to pay the levied corkage fees through the MOC, please contact moc.feinkost-kaefer.de for more information.
Is there Wifi onsite?
We are offering all exhibitors free WiFi which reaches 5 mbps. The connection details will be provided nearer the time. Please note that Visitors will not have access.
Alternatively, exhibitors can purchase a secure network on their stand of which the MOC offers a wired internet connection that can be ordered via the Exhibitor Shop.

How do I access my Exhibitor Zone?
You can access your Exhibitor Zone using your email and the password you set. If you need help, please contact independenthotelshowmunich@montgomerygroup.com.
I filled in the details to create a staff badge but it’s not working. Why is this?
This could be because the email address you’re using has already been used for either a visitor badge or another exhibitor badge. To create separate exhibitor badges, you must use a unique email address.

How can I invite guests to my stand?
Within the 'Invite Customers' section, you will find a custom invitation link for your company. This invitation link allows you to invite and then track your guests – meaning that you can follow-up and book a meeting with them at the show.
Alternatively, you can send a pre-customised email directly from the e-zone, with the option to add your own message.
How do I promote my presence at the show?
Under 'Marketing Toolkit', go to 'Download Free Social Media Graphics' and you will find banners, email signatures and social posts. If you're sharing on social, please remember to tag us @indhotelshowams and use #IHA26 so that we can engage with your posts.
